DOCUMATION S SELF-SERVICE PORTAL Self-service enquiries Document upload Requests for information Information update The Self-service Portal provides a seamless communication interface between you and your business process contacts customers, suppliers, partners, etc, - and employees. Portal users can upload documents and information directly into your Documation solution and view their own documents and processing information. The Portal also enables you to request information from your contact and receive it directly into workflow.
2 Documation s Self-service Portal Self-service Portal key features Self-service enquiries Document upload Requests for information Information update Portal users can search for and view their own documents and processing information (such as workflow status), providing selfservice answers to many of their own queries. This facility enables portal users to upload documents directly into the relevant workflow. Organisations can issue requests for information from users, with responses delivered directly into workflow. Electronic forms workflow can be added to the Self-service Portal functionality and which facilitates user provision of information via eforms, and routed directly into workflow. We deal with five groups of people and every one of them is highly impressed with the enhanced level of transparency offered via our online services. Our customers can track claims easily online and that gives them greater confidence that we are doing our job correctly. Mobile Doctors Self-service enquires Responding to telephone, fax and enquiries is a time-consuming task for any department. The Self-service Portal enables users to search for their own documents, workflow status and other information as required, and to self-service answers to many of their own queries resulting in work for both you and your contacts becoming more efficient and allowing your staff to switch to more strategic tasks. Document upload Users can upload documents directly into your workflow, with the portal automatically delivering the documents to where they re needed. This means processing can start immediately and eliminates the need for department staff to scan, index or manually enter data.
3 Requests for information When data from your contact is required, department staff use the portal to create a request for information. The portal issues an containing a link via which the portal user responds and which ensures the information is delivered directly into your workflow, along with any accompanying documents. Alerts are triggered if further processing is needed. Information update eforms functionality can be incorporated to enable users to update information change of address, new order instructions, for example. Online validation and automatic population of significant fields makes information update less time-consuming and more accurate, and updates can be set to automatically trigger workflow. This has been a very successful project, mainly down to the strong communication between the two companies which has really strengthened our partnership. Business intelligence Enable s analysis tools help identify problem areas, trends in volumes and process bottlenecks, with BI s Dashboard the window on to what s happening now. Integration eforms Store Enable securely stores and manages all documents regardless of format, enabling compliance with standards such as BIP 0008, and providing comprehensive audit trails and histories. Delivery Delivery creates and delivers outgoing documents, through from constructing the communication to retrieving recipient details and sending via the most appropriate route , fax, letter, etc. Enable is designed to integrate seamlessly with any line of business system, ERP, HR and CRM application, with information posted automatically from Enable and documents retrievable from either environment.
