Using the PeaceHealth Secure System

1 1 PeaceHealth is using a Secure System that allows for secure communications between individuals with a PeaceHealth address and individuals with addresses outside the PeaceHealth network. From time to time, you may receive such correspondence from a PeaceHealth sender. This guide is intended to assist you in using the PeaceHealth Secure System to receive and send secured messages. How to Read a Secured (** Includes First-Time Account Setup**) You will receive a normal message, notifying you of a secured message available to be read. When you open the message, it looks something like this. Click on the View Message button.

2 2 Logging On and Password Setup First-Time Logon and Setup The first time you try to open a secure message, the system will prompt you for some name information, and to create a password and a hint, as follows: The password hint phrase should be something that reminds you of what the password is. For instance, suppose the password is Learning. The phrase might be Starts with L and has to do with education. Filled in, yours might look something like this: Click Continue.

3 3 Once you complete your first-time setup, you will receive a message (in your internet account) that looks something like this: Keep this message. You can use this link to access your secure at a later time. Normal Logon The next time you click on the VIEW MESSAGE link, you ll see something like this: The address will already be filled in. You complete the password. If you forget the password, click on the click here to get a hint link your password hint will be ed to you. If you still can t remember the password, call (PeaceHealth Helpdesk). They will help you reset your password.

4 4 Reading , Continued After you complete your password information or provide your password, you are taken to the message. This is not only a message view, but also a mailbox view. From here, you can Reply, Reply to All, Forward, Delete, or Move the message to another folder. In replying to all or forwarding, you are limited you can only reply / forward to people whose accounts are provided by PeaceHealth. You cannot, for instance, reply or forward messages to people on AOL.

5 5 The PeaceHealth Secure System can also be used to send secure to recipients within one of the following PeaceHealth network domains. ehiworks.org oregonimaging.com rapc.com lcwcllp.com oregonneurosurgery.com urologyhealthcare.org ohvi.org oregonsurgicenter.com womenscare.com omlabs.com peacehealth.org sharedcareplan.org To Compose a New Message, click on compose towards the upper-left edge of the screen. The To has a star (*) next to it because it is the only required field. 1 You have the same limitation as in a reply or forward you can only send to someone whose is provided by PeaceHealth. There is no address book function. A 3&3 will not work; you must enter the complete PeaceHealth address for the person, e.g. [email protected]. You may include attachments. o Executable (program) files and some other attachment types (files ending in.exe,.com,.scr,.mpg,.wav, and others) are automatically quarantined to reduce the risk of spreading viruses inside the PeaceHealth network. If you package these inside of a not-password-protected.zip file, they will get through. 1 Adding an entry to the CC: or BCC: line satisfies this requirement.

6 6 Viewing the Inbox You may view all secure messages in your secure inbox by clicking on the Inbox link, near the top-left. Messages which have not been read show up as bolded. Off to the right, you see how long before the message expires and how large the message is. Messages automatically expire (are deleted) after 30 days. Setup Preferences You can specify the number of messages you wish to view per page, whether you prefer HTML or text , and the notifications you wish to receive. Password Change The Change Password button is just below the preferences button. The HELP link in the upper-right provides an overview of all functions.
